CONCIERGE MODE NOVA AI

A Personal Data Analyst for Everyone on Your Team

Every user asks in plain business language, sees their real data, and gets live, adjustable reports built straight into Google Sheets or Excel — no SQL, no training, no waiting on the report person.

No SQL Needed Reports in Sheets & Excel Self-Service Controls Admin Governed
Nova AI - concierge mode

Most people in a company don’t know SQL, don’t want to learn a query builder, and still need answers from the company’s data every single day. Concierge Mode is Nova adapted for exactly those people: they ask in plain business language, Nova shows them their actual data, and when a result is worth keeping, Nova turns it into a live, adjustable report in their Google Sheets or Excel add-on. No SQL. No training. No waiting on someone else.

This guide covers everything Concierge Mode does — for the people using it, and for the admins governing it.

Who Gets Concierge Mode

Members — automatic

Any user with the member role who has been granted Nova access gets the concierge experience in every conversation. Nothing to switch on, and no way to fall into “technical mode” by accident.

Admins & creators — unchanged, with a preview

Technical users keep the full Nova they already have. A Concierge switch next to the message box lets them experience exactly what their members see — remembered per person.

The whole rollout is one toggle. Grant Nova access per user under Settings → Access Control. That’s it — every member you enable gets their own data analyst.

From Question to Spreadsheet Tool

Step 1
Ask
“Pull this year’s orders for our biggest customer with quantities and prices”
Step 2
See Data
Nova runs it and shows the live result — a table or chart, never tech-speak
Step 3
Shape It
Refine, chart, enrich with related data Nova found in their systems
Step 4
Save & Share
The dataset lands in their Sheets / Excel add-on as an adjustable, live report
Step 5
Nova Maintains
Approval-gated changes, tidy-up offers, and record-level “why is this missing?” checks

The Conversation: Data First, Zero Jargon

No technical vocabulary, ever

Nova never shows SQL and never says tables, columns, joins, or databases. It says “your report”, “your sales & inventory system”, “filtered to this year”. The mechanics stay invisible.

Runs first, shows you

For read-only looks at data, Nova doesn’t ask permission — it shows the result. Nobody leaves a conversation without seeing their data.

Findings arrive as data

Anything concrete Nova finds goes in a compact table with business-friendly column names. A concierge answer never contains less visible data than a technical one would.

Errors are translated

If the connection to the data is offline or a request times out, the user gets one plain sentence about what happened and what happens next. Never an error code.

Nova looks beyond the ask. The user knows a sliver of what their systems hold; Nova has the full map. Obvious improvements (a customer’s name next to their code) happen silently. The rest arrive as a short “What else your system can add to this” menu — each line a real, verified piece of their data tied to what it unlocks. That’s the difference between an answer machine and an analyst: Nova tells you what you didn’t know you could ask for.

A Concierge Conversation

User
Can you pull all of this year’s orders for Brightway Hardware — with the PO numbers, quantities, and prices?
Nova
Here you go — 418 order lines so far this year, each with its PO, quantities ordered vs. shipped, and pricing. [data table]

Want me to refine it, chart it so the trend jumps out, or set it up in your Excel so you can pull it up anytime?
User
Set it up in Excel!
Nova
Done — “Customer Orders” is in your Excel add-on. I made it adjustable so you don’t need me every time: pick the customer from a list and move the date range whenever you want. It pulls live data on every refresh.
— Two weeks later —
User
Order 84312 isn’t showing up in my report — why?
Nova
I checked it against your data step by step. The order exists — but its item details haven’t been entered yet, and your report only shows orders that have them. It’s not lost, just still in progress.

Want me to change the report so in-progress orders still show up, marked “No item details yet”?

Reports With Controls They Drive Themselves

Before saving a report, Nova has a short controls design chat. Controls are what turn one report into a tool the user steers without ever coming back to Nova — and Nova proposes the ones that fit this data and how the user iterated during the conversation:

Control typeWhat the user getsExample
Time controlsA rolling window (evergreen — best for recurring reports), a month/year picker, or a from/to range“Last 3 months”, “May–July”, “2026 to date”
Pick-listsDropdowns built from real values confirmed in the data, never invented options — multi-select where the data source supports it, with per-option descriptionsCustomer, status, warehouse, region
Numeric dialsThresholds and countsMinimum order total, top-25 rows, years back
Optional filters“Leave blank to see everyone” styleOne salesperson — or all of them

Nova recommends the three to six controls the user would genuinely reach for — a wall of filters intimidates — and static is fine too: a report can be saved exactly as-is, with controls added later. Reports are named generally (“Customer Orders”, not “Amazon Orders July”) so they stay useful as their settings change. Sharing is one sentence away: name the teammates, and Nova confirms exactly who got access.

My Datasets: Their Reports, At Hand

Next to the Nova message box is a “+” / My Data button. Its My Datasets tab lists every report the user has — ones Nova built for them, ones teammates shared, and ones they made themselves:

Preview

An instant, Excel-like table of the report’s live data (up to 5,000 rows) using its current default settings. No conversation needed.

Share

Add or remove teammates via the people icon — recipients get the standard notification email and see the report in their own add-on.

Attach

Click a report to attach it to the conversation as a chip. Nova examines it and picks the discussion up from there: refine it, explain it, extend it.

An Analyst That Keeps Looking After the Work

Changes need a yes

Want a column added? Nova describes the change in plain language, shows a preview, and applies it only after explicit approval. Nothing persists without a yes.

Teammates’ reports respected

Asked to change a report a teammate shared? Nova never edits the original — it creates the user’s own copy and says so plainly. “Removing” a shared report only takes it off their list.

Tidy-up on offer

When reports pile up, Nova may gently offer a cleanup — one consolidated question naming each report, nothing deleted without being named and approved. Near-duplicates can merge into one adjustable report.

“It isn’t working” gets a real diagnosis

When records seem missing from a report, Nova checks each one against the data mechanically and explains exactly where it fell out — then offers the fix.

The Missing-Records Check, Step by Step

“My report isn’t working” is the most common data-help request in any company — and it’s almost never the report. When a user names the records they can’t find, Nova runs a deterministic check on each one:

In the data?

Does the record exist in their system at all? If not, that’s the plain answer — “worth checking with whoever enters orders” — not a report problem.

Passes the settings?

Does it survive the report’s current controls — the date range, the pick-list selection? A record outside the chosen window isn’t missing, it’s filtered.

Has its details?

Does it have the related detail the report depends on? An order entered without its line items yet can silently vanish from a detail-level report.

The fix, offered

Where it fits, Nova offers to change the report so in-progress records still show up — with blanks and a clear flag like “No item details yet” — through the normal preview-and-approve flow.

It Already Knows Your Business

Concierge conversations run on everything Nova already understands about the organization. Semantic Intelligence gives it the automatic map of the data — every table, what it means, how things connect — and Taught Knowledge carries the terminology and rules the team has taught Nova. A member who asks about “active customers” gets them counted the way their business defines them — without ever needing to know that either system exists.

More than one system? Still one conversation. If the organization’s data lives in an orders system and a separate forecasting system, Nova can combine them into a single answer or report — described purely in business terms: “your sales data matched against what’s in stock”. If the data needed lives somewhere Nova can’t reach, it says what’s missing in plain words and offers to flag it.

For Admins: Governance and Guarantees

GuaranteeHow it’s enforced
Everything is a standard saved queryReports Nova builds for members are ordinary saved queries — visible in the Query Builder, organized into a per-user Nova folder, fully inspectable and editable by your technical team.
Clear ownershipNova (as a system identity) owns the queries it authors; the member is a genuine share recipient. The sharing tab shows exactly who can run what, and the owner card shows where every query came from.
Your limits applySharing consumes the same sharing slots as any other shared query, and licensing is enforced identically. A save that would exceed capacity fails with a plain-language explanation — it never quietly over-provisions.
Read-only, through your agentEvery query in a concierge conversation goes through your own Network Agent with the same read-only enforcement as everything else in Query Streams. Members only reach data their access allows.
Normal Nova billingConcierge conversations use Nova credits exactly like any other Nova conversation.
Technical users untouchedAdmins, creators, and query managers keep the full technical Nova. Nothing changes for them unless they flip the Concierge switch to look.

Frequently Asked Questions

Can a member ever see SQL?
No. The concierge experience has no SQL surface at all — no SQL cards, no query text, and errors are translated to plain language. The SQL exists, of course — your technical team can inspect every report’s definition in the Query Builder.
Why does a report show blank columns or a “No item details yet” flag?
That’s deliberate. Real operational data is often incomplete — an order can exist before its line items are entered. Rather than silently dropping such records (which reads as “my report is broken”), Nova prefers reports that show every record the user asked about and clearly flag what’s still in progress.
What happens when a member asks Nova to change a report someone shared with them?
Nova creates the member’s own copy and edits that, telling them so. The original owner’s report is never touched.
A member says a record is “missing” from their report — should they file a ticket?
Have them ask Nova first — naming the missing record. Nova checks it against the data step by step and explains exactly where it fell out: not in the data yet, excluded by the report’s current settings, or missing its related detail. Most “broken report” moments turn out to be one of those, explained in a sentence.
How do we turn it off for someone?
Remove their Nova access in Settings → Access Control. Their saved reports remain (they’re standard saved queries) and keep working in their spreadsheet add-on — they just lose the analyst.

Stop Being the Report Department

Every “can you pull me a quick report?” that lands on your desk is a conversation someone could have had with Nova. Give your team access, and give yourself your time back. Free to start, no credit card required.
