Microsoft Access verbinden met Google Sheets – Live databasegegevens streamen

Gegevens verkrijgen van een Toegang bestand in Google formulieren

Open je Access-database in Google Sheets en vernieuw deze wanneer je maar wilt. Geen CSV-uploads, geen Apps Script, geen kopiëren en plakken. De eerste keer duurt het ongeveer tien minuten en het is inbegrepen bij het gratis abonnement.

Wat je uiteindelijk overhoudt

Microsoft Access-databases zijn afzonderlijke bestanden, die meestal eindigen op . .accdb, .mdbGoogle Sheets kan ze helemaal niet openen, en de gebruikelijke oplossing is om een CSV-bestand te exporteren en dat telkens opnieuw te uploaden wanneer de gegevens wijzigen. Query Streams slaat dat over: een klein hulpprogramma leest het bestand op de locatie waar het zich al bevindt, en een Google Sheets-add-on vraagt het programma om de gewenste rijen. De twee hoeven niet op dezelfde computer te staan. Het bestand kan op de kantoorcomputer staan en u kunt zich overal bevinden: elke browser op elk apparaat.

The Agent on a computer that can open the file

Een klein programmaatje dat op de achtergrond draait en het bestand leest wanneer Google Sheets daarom vraagt. Stap 2 hieronder laat zien waar je het kunt vinden.

Uw Access-bestand

Weet bijvoorbeeld waar het is. C:\Data\orders.accdb of \\server\share\orders.accdb. If it lives in OneDrive, Dropbox or Google Drive, make sure it is synced to the Agent’s computer.

Welke computer krijgt de agent? The one where the file is, or one that can open it from a network share (see Reaching a file on a network share below). That computer needs to stay on. Google Sheets kan overal zijn.Het draait in je browser, dus er wordt helemaal niets geïnstalleerd op de plek waar je de gegevens leest.

Verbind het in vijf stappen.

  1. Maak uw account aan

    Ga naar mijn.querystreams.nl en meld je aan. Kies de Gratis plan. Het is een echt plan, geen proefversie, en het omvat het koppelen van je Access-bestand en het uitvoeren van query's vanuit Google Sheets.

  2. Install the Agent on a computer that can open the file

    Aanmelden, openen Download, and install the Agent for your system on the computer where the file is, or on one that can open it from a network share. It takes a minute and starts on its own from then on.

    Waarom een klein programma in plaats van een driver? The Agent is one install for Windows, Mac or Linux (about 85 MB on Windows, a little over 100 MB on Mac and Linux) that runs quietly in the background. It makes one outbound, encrypted connection to Query Streams, the same way a browser does, so you open no firewall port and set up no VPN. The file stays where it is, and the rows travel to wherever you are, across the internet if need be. The only thing on your side is the add-on.

  3. Wijs het naar uw Access-bestand

    Ga terug naar je browser en open... Data Agents (onder Gegevens (in het bovenste menu). Uw makelaar staat daar vermeld. Klik Connector toevoegen, kiezen Microsoft Accessen vul in:

    Database-bestandspad
    Where the Access file (.accdb or .mdb) is: a path on the Agent’s computer, like C:\Data\orders.accdb, or a network path, like \\server\share\folder\orders.accdb, never a mapped drive letter such as S:. Use Browse to pick it.

    Open Data Agents

    Test mislukt? Usually the database engine is not installed (the banner above the form says so), the path uses a mapped drive letter such as S: that the Agent service cannot see (type \\server\share\folder\file.accdb instead), or the path has a typo.   4. See your data in Query Builder Optioneel

    You can look at your Access file before Google Sheets is involved at all. Open Querybouwer in the portal and pick the connection you just made. The Schema tab lists your tables and columns, and clicking one puts its name in the editor, so you can write a query without remembering exact names. Click Ren and the rows appear under Resultaten. Query Builder is on every plan, Free included.

    On Business plans you can also ask Nova in plain English (“show me customers in the USA”) and it writes the SQL for you. When the query looks right, save it: from Personal Core up it shows in the add-on’s Saved Queries list, and on any plan you can copy the SQL into the next step.

  5. Querystreams toevoegen aan Google Sheets

    Open een Google Sheet en ga naar Extensies → Add-ons → Add-ons downloaden, zoeken naar Query-stromenen klik InstallerenOf installeer het direct vanaf Querystreams op de Google Workspace MarketplaceGoogle zal je vragen om de add-on toe te staan; dat is normaal.

    Daarna is het in elk Google Sheet dat u opent te vinden: een Query Streams-pictogram in het zijpaneel aan de rechterkant, ook vermeld onder UitbreidingenEr is geen aparte aanmelding nodig. Het herkent het Google-account dat je al gebruikt, dus het e-mailadres moet hetzelfde zijn als het e-mailadres dat aan je Query Streams-account is gekoppeld.

  6. Schuif je eerste tafel aan

    Klik op het pictogram 'Query Streams' in het zijpaneel aan de rechterkant van het werkblad (of zoek het onder Uitbreidingen). Kiezen Query Streamer en kies de verbinding die je zojuist hebt gemaakt.

    Typ de query die u wilt uitvoeren. Deze haalt een paar kolommen op uit een Klanten tafel:

    Onder Bestemmingsblad Selecteer het tabblad waar de rijen moeten komen te staan en klik vervolgens. Query uitvoerenDe rijen verschijnen binnen een seconde of twee in dat tabblad. Klik op 'Query uitvoeren' wanneer de gegevens zijn gewijzigd en het tabblad wordt direct bijgewerkt.

Reaching a file on a network share

Windows

Type the network path, like \\server\share\folder, never a mapped drive letter such as S:, which the Agent cannot see. If the share only lets in named people, click Service identity (the chip under the path) and store a login for that server: a company domain account, or an account made on the server itself with Domain left blank. The Agent then signs in to that server and reads the file there, and every connector on that Agent that reads the same server must use the same login. Without a login, it reads as its own service account, which a company domain sees as the computer itself. Step by step on Windows

If the test cannot get to the share, look for these words in its result: unreachable means the Agent’s computer got no answer from the server.

Test failed on a share?

A Windows Agent signs in to the file server itself, so its test result can also say:

Dat is alles. Uw gegevens staan in het spreadsheet en worden met één klik bijgewerkt. Er is niets van uw netwerk verwijderd, behalve de rijen die u hebt opgevraagd.

Goede volgende stappen

  • Sla de zoekopdracht op. in het portaal, zodat je het met één klik opnieuw kunt uitvoeren, vanuit Google Sheets of Excel.
  • Voeg een filter toe zoals een datumbereik, zodat dezelfde zoekopdracht "deze maand" kan antwoorden zonder aanpassingen.
  • Deel de resultaten met een collega. Zij zien de rijen, niet je bestand en niet het bestandspad.

Moet uw Access-bestand op dezelfde computer staan als waarop ik Sheets gebruik?

No. Only the Agent has to be able to open your Access file. Google Sheets runs in your browser on any device. Open the add-on with the same Google account and your connections are there.

Wordt mijn databasebestand ergens geüpload?

No. The Agent reads the file where it sits and sends only the rows your query asks for. The file stays where it is.

Kan het bestand zich in OneDrive, Dropbox of Google Drive bevinden?

Ja, zolang het maar gesynchroniseerd is met de computer waarop de agent draait, zodat de agent het als een gewoon lokaal bestand ziet. Richt de verbinding op de gesynchroniseerde kopie.

Is dit echt inbegrepen bij het gratis abonnement?

Wordt het werkblad automatisch vernieuwd?

Klik nogmaals op 'Query uitvoeren' wanneer u de meest recente rijen wilt ophalen. Voor een spreadsheet die automatisch wordt vernieuwd volgens een schema, zonder dat iemand iets hoeft te doen, kunt u een automatisering instellen in de Query Streams-portal (Streams → Automatisering). Deze functie is beschikbaar in alle abonnementen.
